Job Description

Primary

  1. Deliver targets as required in the following HR and adminstration facets
    • recruitment & attraction (deliver KPIs set)
    • C&B (incl payroll management)
    • reward & recognition, retention (contain staff turnover to be within target)
    • perfomance management
    • D&T (focus, targeted & effective)
    • talent management & development (deliver KPIs set)
    • organizational design (deliver aligned business objectives with efficiency)
    • manage overall employee relationship & internal communication (foster the right culture – e.g. performance based, team based & drive and embrace changes; etc.)
    • ensure compliance of HR and Administrative policies & procedures
    • deliver employee engagement targets
    • drive internal customer service culture & provide effective office administration (a supportive working environment)
  1. Lead as key point of contact between Sub and Area / Region on all HR & Administrative initiatives and programs. Implement / deliver initiatives, programs & KPIs developed by Area / Regional HR teams. Report and track progress in a timely and accurate manner.
  2. Advise and educate line managers on HR issues, developing their HR management abilities, and providing quality HR services to departments. Foster the right culture and company values at all times. Be the eyes and ears of the CM & HODs on all important people related matters. As part of the leadership team in aINDO, be the consultant in all people related issues and participate actively in developing and implementing business strategies and objectives.
  3. Communicate internally to all staff on staff activities, people movements, key brand/ business initiatives and relevant market and industry information.  Enhance loyalty, engagement and overall team effectiveness to/of the company.

Secondary

  1. Plan, coordinate and/or conduct D&T for staff and ensure alignment to area/regional training guidelines.
  2. Manage office administration to ensure operational efficiency and foster supportive working environment in the office facility and HR administration e.g. payroll, personnel files, letters; etc.
  3. Provide adidas management team will relevant HR related information.  Produce all necessary HR reports and KPI tracking in an accurate and timely manner.  Recommend appropriate action plan to improve HR KPIs.

As an Office Manager, you are responsible for

JOB PROFILE

Purpose:  

  1. Manages the daily operations of a Branch, Representative Office or Liaison Office
  2. Plans and implements local administrative, financial and budgetary requirements

Key Responsibilities:

  • Manages departments and their staff in accordance with direction and policies of aSL (adidas-Sourcing Limited) Regional in Hong Kong and local Country Management.
  • Ensures all functions are compatible and comply with local law (labor, fiscal, health, individual income taxation and safety etc.). Reports back conflicts between aSL Regional  requirements and local law to Hong Kong.
  • Assists the Chief Representative to co-ordinate all cross-divisional activities in the office.
  • Work closely with the legal advisor of aSL/the external lawyers as approved by legal advisor of aSL in respect of any legal matters, including but not limited to, reviewing of documents and instituting appropriate legal actions.
  • Conduct self-audits based on aSL questionnaire on regular basis and collaborate with aSL on any areas of under-performance or risk.

Finance/Accounting

  • Ensure compliance of accounting, reporting and budgetary control and operating expense forecasting according to established principles and policies, oversees cash management activities, together with good maintenance of domestic bank accounts.
  • Ensures monthly accounting reports and rolling forecast are delivered to aSL Regional Hong Kong in a timely manner.
  • Controls operating expense budget on monthly/annual basis.
  • Controls investments and fixed assets in accordance with budget and company policies.
  • Ensures operating funds are utilized in an efficient manner
  • Maintain effective internal control procedures, proper tax and accounting records and work closely with auditors, tax advisors and consultants.
  • Responsible for the local corporate and individual tax filing and compliance

Corporate Services

  • Ensures office premises, equipment, fixtures and facilities are properly maintained at a high standard of decoration and efficiency
  • Negotiates best terms for office lease, expatriate lease and office supplies.
  • Ensures that office safety and fire prevention are always given priority.
  • Handles communication with office and housing landlords and contractors.
  • Identifies and negotiates terms for office supplies and service providers (hotels, travel, furniture etc.).
  • Arranges work permits, visas, schooling, housing and removals for expatriate staff.
  • Assists the Chief Representative to ensure compliance of local laws and regulations (including but not limited to labor, financial, health, corporate and individual taxation, health and safety working environment) and to manage the office in accordance with directions and policies of aSL-Management.
  • Handles communication with office and housing landlords and contractors.
  • Identifies and negotiates terms for office supplies and service providers (hotels, travel, furniture etc.).

  • Works closely with other functional areas within LOs and in aSL Regional Hong Kong, ensuring all departments and functional areas work together to achieve adidas’ overall objectives

Requisite Education and Experience / Minimum Qualifications:  

  • Diploma or degree from educational entity focusing on business administration or related field.
  • At least 5 years’ experience with exposure to office administration /finance/accounting/human resources with an international company.

ACCOUNTABILITIES

Primary

  1. Ensure prompt payments to internal and external parties to maintain the image of the company
  2. Ensure accurate posting to GL accounts, department code, etc
  3. Review intercompany reconciliation on a timely basis
  4. Accurate and timely preparation of Treasury Report to RHQ.
  5. Perform cash flow analysis for transfer of excess funds to HQ
  6. Review and responsible for all adjustment journals
  7. Prepare Tax calculation and reports related to AP

Secondary

  1. Input journals
  2. Issue and posting of accrual journals
  3. Prepare Balance Sheet foreign exchange exposure for submission to Global Treasury
  4. Review and prepare netting payment report to HQ as per HQ’s schedule dates
  5. Prepare and file statutory, business statistics and other kind of returns as required by local tax and legal legislation
  6. Maintain suppliers’ master file.
  7. Ensure corporate governance compliance
  8. Handle ad-hoc financial/accounting assignments
  9. Responsible to maintain a systematic file system for safekeeping; the data/financial information/invoice to be kept at least for a number of years as per required by local law.
  10. Compliance with all policies and procedures as laid out in the Group Financial Manual (GFM) and Local Policy Manual.
